The university offered programmes across engineering, management, arts, sciences, and health sciences — each with different faculty workload models, contract structures, and performance evaluation criteria.
The existing HR system was a 10-year-old on-premise solution that had not been upgraded since 2016. Payroll processing took 10 days per cycle due to manual data entry and verification. Faculty workload allocation was managed in Excel spreadsheets, with HR staff manually reconciling faculty assignments against course registrations from the SIS each semester — a process consuming 200+ person-hours. Leave management was paper-based, and performance appraisals were conducted using Word documents emailed between faculty and department heads.
Cydez implemented Oracle Fusion HCM covering Core HR, Payroll, Absence Management, and Performance Management. Oracle Integration Cloud (OIC) was used to build bi-directional integration between HCM and the university's SIS, enabling automated faculty workload allocation based on course registrations and student enrollment numbers. Self-service portals were deployed for leave requests, pay slip access, IT declaration for tax purposes, and annual performance appraisal submission.

A private university with 2,800 faculty and administrative staff across 5 campuses managed HR, payroll, and leave on a legacy on-premise system that had not been upgraded in 8 years. Faculty workload allocation, contract renewals, and performance appraisals were handled in spreadsheets. There was no integration between the HR system and the student information system, causing manual reconciliation of faculty assignments each semester.

How we delivered this project
Discovery
Conducted 6-week requirement analysis across 5 campuses. Documented 5 faculty workload models, 8 contract types, and 12 leave categories. Mapped SIS data structures and integration points. Assessed existing payroll complexity including PF, ESI, and professional tax calculations.
Design
Designed the Oracle Fusion HCM configuration covering Core HR, Payroll, Absence, and Performance Management. Created OIC integration architecture for bi-directional SIS connectivity. Defined faculty workload allocation rules and performance appraisal templates for each discipline.
Development
Configured HCM modules with university-specific element entries and fast formulas for Indian payroll compliance. Built OIC integration flows for SIS data exchange — course assignments, student enrollment, and faculty availability. Developed VBCS extensions for workload dashboard and appraisal summary views.
Launch
Migrated 2,800 employee records from the legacy system using HDL. Executed parallel payroll run for 2 months. Trained 45 HR staff, 120 department heads, and conducted self-service orientation for all 2,800 employees. Achieved 90% self-service adoption within 4 months.

Faculty Workload Automation
Automated workload allocation based on SIS course registrations, student enrollment, and faculty specialisation. Dashboard showing teaching load, research allocation, and administrative duties per faculty member.
Indian Payroll Compliance
Full Indian payroll configuration including Income Tax with investment declaration, PF (with VPF option), ESI, Professional Tax, and LWF. Automated Form 16 and annual return generation.
SIS Integration via OIC
Bi-directional integration enabling course assignment data to flow from SIS to HCM for workload calculation, and faculty availability data to flow from HCM to SIS for timetable planning.
Performance Appraisal
Digital performance appraisal workflows customised for academic evaluation — covering teaching effectiveness, research output, administrative contribution, and student feedback scores.
Leave Management
12 leave types including casual leave, earned leave, academic leave, sabbatical, and duty leave. Rule-based accrual with academic calendar awareness and department-head approval chains.
Employee Self-Service
Portal for leave requests, pay slips, IT declarations, reimbursement claims, and appraisal submissions. Mobile-responsive design for faculty accessing from labs and lecture halls.
